Debunking Myths About Webinars: I Can’t Do a Webinar on My Own!

In this article, you'll discover why webinars remain one of the best methods for acquiring clients. You'll also learn that you don't need a 10-person team to create a webinar that attracts customers.

What's the most common myth about organizing webinars? Do you really need a 10-person team to launch your first webinar? Imagine the scenario: you have a great idea for a webinar, but someone suggests you need to gather an army of people - from a graphic designer to a live streaming specialist. Sounds overwhelming, right? But what if you only need a reliable process and a bit of trust in simple tools?

This is exactly what Maciej Biegajewski and Anna Prończuk-Omiotek discussed during a recent live webinar session at LiveWebinar.

Anna Prończuk-Omiotek, known as AnnaPRO, is a popular webinar specialist with many years of industry experience. For over 15 years, she has been teaching professional marketing that supports sales. Webinars hold no secrets for her, and recently she has been exploring AI and its applications in organizing webinars.

Maciej Biegajewski is an experienced webinar and digital marketing specialist who has been co-creating the LiveWebinar platform for years, playing a key role in developing and implementing innovative solutions.

Both are passionate about webinars, possessing extensive knowledge and experience, and their advice has often helped organizers achieve high sales results. We decided to present a brief summary of their discussion, while also encouraging you to listen live.

Myth 1: I Can’t Do a Webinar Alone!

Many future organizers think this, and it stops them from taking action. They imagine they need a big team to organize an online event. But that's not necessarily the case, as our speakers demonstrated. What you need are a few elements that must align, but these are absolutely achievable by one person.

Maciej Biegajewski is a great example, as he organized many webinars on his own even before collaborating with LiveWebinar. His advice?

“Don’t be afraid to try. It’s better to move forward than do nothing out of fear of making a mistake. Webinars require some skill, but you can easily learn to improve them. The most important thing is to act.”

Myth 2: Why Do I Need a Webinar When I Can Do a Live Stream?

This was another myth they tackled. Organizers often think live streams and webinars are the same. However, there are fundamental differences between the two. As Anna Prończuk-Omiotek explained: “Webinars are often misunderstood; people confuse them with live events. A livestream is spontaneous, casual, with no registration required. A webinar is planned, requires registration, and is designed with a script and technical preparation. It often aims to achieve marketing goals (lead generation or sales).”

A webinar has a registration page, sign-up form, and generates leads. It's more analytic - you can track participant activity and engagement, allowing for better post-webinar targeting. All this makes it more suitable for sales and lead generation. The livestream, however, is better for building community relationships. It's beneficial to use both forms complementarily, but they serve different purposes and functions. A webinar is hard to replace with just a live stream.

Myth 3: A Large Team Is Needed to Organize a Webinar

Many people believe you need a large team (even a dozen people) to organize a webinar. This is not true. In reality, a webinar can be organized even by one person. Both experts agreed on the key elements needed to organize a webinar independently:

  1. Computer and good internet connection.
  2. Webinar platform (e.g., LiveWebinar).
  3. Good idea and webinar script.

Maciej Biegajewski: “However, remember that an extra person (like a chat moderator) can be helpful, especially with larger groups of participants.

Anna Prończuk-Omiotek introduced three pillars of a good webinar, which she developed and highlighted during her work.

Three pillars of a good webinar according to Anna:

  • Promotion: Properly promote the event. Effective promotion affects the number of registrations and attendance. It's important to choose communication channels and monitor promotion results.
  • Representation: Prepare a valuable presentation that truly addresses audience needs. The presentation should be ready well in advance, not at the last minute. It's good to determine which problem the webinar solves and then create the appropriate presentation.
  • Overall Equipment: This means a good microphone, camera, lighting - the right technical quality is key for the webinar's reception. A stable internet connection and good technical preparation are also crucial.

They noted that if you're working alone (especially when working alone), choosing a good webinar platform (e.g., LiveWebinar) is important. This saves time and helps you better plan all necessary actions: participant registration and promotion - because a good webinar platform has various useful functions integrated into one place, making preparations faster, more comprehensive, yet simpler.

Referring to the three pillars mentioned (with the intentional acronym PRO), Anna Prończuk-Omiotek compared organizing webinars to creating functional home furniture. “If you have a three-legged table and saw off one leg, it will collapse. That's why each of these pillars is so important: Promotion, Representation, and Overall Equipment.” This comparison vividly captures the essence of the discussed actions aimed at preparing a webinar and, most importantly, shows that each element is essential for success.

Ways to Increase Webinar Attendance:

How to increase webinar attendance? There are many ways, and the experts pointed out the following:

  • Promoting the webinar through various channels (email marketing, social media, advertising).
  • Planning promotion in advance and consistently monitoring the results (number of visits to the landing page, number of registrations, attendance).
  • Reminder activities - emails sent before the event.
  • Organizing live streams preceding the webinar.

Further Important Tips for Organizing Webinars:

  • Avoid using free platforms with time limits (e.g., up to 45 minutes), as you might lose participants during the session.
  • Good practices also include being prepared for crisis situations (e.g., no internet, a neighbor's noise).
  • Gathering data and analyzing statistics allow you to improve the webinar organization process.
  • Regular webinars increase process efficiency (weekly webinars build in audience habits).

Myth 4: Oversaturation with Online Education, Webinars are Outdated

People are indeed overwhelmed with online information, but good webinars that address specific problems and needs will always find an audience. Webinars are a convenient form of content consumption and are still very effective, especially if they are valuable and well thought out. Myth 5: Webinars in B2B and Enterprise Marketing aren’t Effective

Another myth. Webinars are effective in both B2B and B2C - only the form of communication and promotion method differ. Enterprise B2B also uses webinars as an important tool for client and employee contact and education. It's crucial to pay special attention to technical aspects and detailed script preparation for Enterprise webinars. Myth 5: AI in Webinar Organization Won't Work

Again, not true! Artificial intelligence can significantly reduce webinar preparation time (e.g., from 40 hours down to even 25 hours), as proven and thoroughly tested by Anna Prończuk-Omiotek. AI aids in content generation, data analysis, better organization, and webinar process automation. Learn more about AI in our post: How to Facilitate Webinar Organization with AI.

What are the Most Helpful Features of LiveWebinar?

  • Detailed analytics - registration sources, attendance, participant engagement.
  • Ability to generate participation certificates, even based on test results conducted during the webinar.
  • Interactive options like virtual whiteboards, Q&A mode, polls - increase participant engagement.

Summary:

A webinar is a versatile tool that can be used for various purposes, including: sales, lead generation, brand awareness building, and onboarding new clients or employees. It's worth utilizing because organizing such an event is relatively easy: you don't need to rent a venue, worry about seat availability, travel costs, or your guests' physical presence.

Remember, organizing webinars is an art you can easily master, and each subsequent webinar will be better with your experience. Another valuable tip is to learn from the best. So choose good tools that make the work easier and take advantage of the advice we've provided in this article.
